Fee and Registration

All participants at the 13th Globelics International Conference must create a user account in the conference management system ConfTool.

Individual emails on the registration procedure are sent to all registered users end of June 2015.

All participants have to pay a registration fee in accordance with the table below. Registration is required to attend any of the conference activities. Delegates must wear their name badge at all times to gain access to activities.

1. Presenting authors: Conference fee includes, Conference Entry (all 3 days), Delegate Pack and Badge, Welcome Reception (Wednesday), Conference Dinner and Cultural event (Thursday), Lunch x 3 & Refreshments during the Conference.

Please be aware, that the conference fee does not include accommodation. The       presenting author of an accepted paper will, however, be provided with local hospitality for three nights (22-24 September 2015) and only three nights. All other expenses in the hotel such as mini bar, telephone, laundry, late check-out, extra nights etc. are on own expense.

2. Non- presenting participants: Co-authors of an accepted paper and other specialists can participate in the full conference programme by signing up as non-presenting participants. Please note that only a limited number will be able to attend under this category.

3. Accompanying guests can attend the Welcome Reception (Wednesday) and Conference Dinner and Cultural Event (Thursday). Accompanying guests are not permitted to participate in the scientific programme. If your friend, spouse etc. would like to participate in the full conference, they will have to register themselves as non-presenting author.

Cancellation and Refund Policy:
Once you have paid for your registration, the following cancellation policy applies:
  • The registration of participation is binding.
  • The participation fees are owed upon registration and are payable within 7 days following submission of the registration (but not later than 7 days after the deadline for registration).
Participation is not guaranteed until full payment of the registration fee is received.
The conference program may be subject to changes.
Payments will be refunded if the conference will be canceled by the organizer. In that case, the organizer will have no further liability to the client. Registrations remain valid if the conference has to be postponed.
Cancellations must be made in Conftool https://www.conftool.com/globelics2015 as well as per mail to havana2015@globelics.org and CC eventos@solways.com.

Calculations for refunds are as follows:
  • If you have to cancel the registration, you get 80% back until 30 days before the start of the event. In all other cases, the financial responsibilities of the participants remain fully effective.
  • Note that, Solways charges an additional fee of 20 EUR in the case of cancellation.
There are no reasons (including but not limited to illness, inability to travel, visa application rejection, travel restrictions etc.) for delegate cancellation which make the above schedule of cancellations inapplicable. Refunds will be made within 28 days of receipt of cancellation notification.

Transfer of registration (presenting authors):
Registrations are personal and cannot be transferred.
A presenting author who has been granted three nights of accommodation (cf. above) cannot transfer this free accommodation to anyone else.
In special cases where the presenting author has to be changed due to unavoidable circumstances, the author granted three nights of accommodation need to apply for transfer by contacting the Conference Organisers at: havana2015@globelics.org no later than 14 August 2015.
